Meeting Minutes
10/2/08

Present: Linda H., Linda B., Sandy R., Ann H., Pat S., Val K. and Sissy H.

1. Minutes of 9/4/08 are read.
2. Membership: 66 paid members.
3. Newsletter: 22 are sent USP and 44 by email.
4. Publicity: We will put advertisements in local newspapers announcing our meetings.
5. Treasurers Report: Balance in checking account as of 10/2/08 is $11,614.82
6. Website: Cissy will be the liaison to get information to Joyce Grant to update our website where and when it is needed.
7. Donation of $150.00 to New England Bonsai Gardens is requested by our October speaker Lou Carreiro in lieu of a speaker's fee.
8. Discussion: We need to review duties of board members. We need better descriptions of board positions and committee positions. We will discuss this at a future meeting.

Meeting Minutes 4/3/08

Present: Linda H., Linda B., Joan O., Cissy H., Jackie B., Carolyn V. and Ann H.

1. Silent Auction, discussion: We are handed out a list of items to be auctioned off. We have 15 items. We decide there will be a minimum bid for each item.
2. Minutes of 3/9/08 are presented.
3. Newsletter: We should add in the newsletter article about New England Organic Farmers Association (NOFA) and Economic Landscaping Association (ELA).
4. Membership: It is time for annual dues.
5. Treasurers Report: Balance in checking as of 4/3/08 is $6,606.95. We do not need to have an audit for our books this year. We will need to do one next year.
6. June Garden Tour: Tickets for the tour have been printed along with a map. A ticket will be stapled to the map. Tickets are $15.00 each. We have received $1,278.00 in sponsorship funds for the tour and we have $1,145.29 left available to use. Barbara Hall has volunteered to be our plant expert at the plant sale.
7. Dig & Divides Dates for the plant sale: Tri River dates will be Saturday 4/19/8 @ 9-12 and rain date will be the following Saturday. Barbara Hall's dates will be Saturday 5/3/8 from 9-12 and rain date will be 5/10/8. Ann Hanscom's dates will be Monday 5/5/8 from 5-dusk and rain date will be 5/8/8. The club will provide the potting mix and pots will be obtained from Barbara Hall. Jackie will look into getting tags/plant identification markers. The Tri River Garden divisions will need to be brought to a separate location due to the fact that there is not an access to outside water.
8. Sign up sheets for volunteers needed at the Garden Tour will be available at the Annual Meeting/ Pot Luck Supper. Right now we need hostesses from 9-12 and 12-3. Pat S. will get long tables to put the plants on for the plant sale and Linda H. will get the tablecloths.
9. Annual Meeting: So far 30 people have signed up to bring food. Set up will begin at 5:30. We need to come in early to set up auction tables.

Monthly Meeting/Annual Meeting / Pot Luck Supper
4/10/08

Monthly Meeting
A quorum is present. About 45 people in attendance.

1. Written Presidents Report and Officers Reports are available for the members.
2. May program meeting will be held at Brigitte Paine's residence for Rhododendrons in Sutton, Ma.
3. June Garden Tour: Pat S. and Sissy H. speak on the 8 gardens that will be available for viewing all located in Upton, MA. Sign up sheets are available for volunteer tour hostesses needed from 9-12am and 12-3pm. We need plant donations for our plant sale that will also be held that day at Pat Stellato's home. Pat will label all the plants. Dig and divide times will be at Tri River 4/19/07 from 9-12 and rain date 4/26, Barbara Hall's residence 5/3/08 from 9-12 and rain date 5/10, Ann Hanscom's residence 5/5/08 from 5-dusk and rain date 5/8. Our plant sale is on the Bostongardens.com website. We will have a raffle at the plant sale for shrubs donated by several local nurseries.

Annual Meeting
1. Treasurers Report: As of 4/10/8 our balance in our checking account is $6,303.95. It is apparent we will need more fund raisers to maintain a healthy bank account.
2. Next year we will need to elect new officers.
3. We close the annual meeting.

Pot Luck Supper is held along with a silent auction. We raised $924.00 at the silent auction and a wonderful time was had by all.
